Role Description

Project Description

  • Collaboration on the preparation of technical, project, and user documentation within a European security agency dealing with the modernization of the ICT environment.
  • Participation in the creation of processes and rules for the management and publication of documentation across a multidisciplinary team of developers, analysts, and network specialists.
  • Creation of documentation, including user manuals, system descriptions, process diagrams, and contextual help.
  • Preparation of presentation materials and training resources for both internal and external stakeholders.
  • Setting rules for documentation formatting and style, ensuring their adherence and consistency across deliverables.
  • Version control of documents and administration of technical documentation repositories.
  • Recommending and configuring suitable tools for documentation creation and management – e.g., WIKI, MOSS, SharePoint.
  • Collaboration on the creation of policy documents for documentation management and knowledge exchange.
  • Work is carried out in a hybrid mode with attendance required 4× onsite/near-site in Warsaw (within max. 2 hours travel distance) as needed by the project.

Project Requirements:

Advanced experience with:

  • Writing technical documentation in the ICT field (minimum 5 years of experience).
  • Coordinating with developers, analysts, network engineers, and end users during content creation.
  • Providing QA and documentation reviews, including terminology and structure checks.
  • Setting up and managing documentation tools and repositories.
  • Creating presentations and training materials for both technical and non-technical audiences.

Experience with:

  • SharePoint and other documentation management tools.
  • Creating documentation standards and frameworks.
  • Designing and managing documentation processes in a project environment.
  • Graphic, authoring, and office tools.

Advanced knowledge of:

  • ICT terminology and software development.
  • English language (minimum C1 – for both communication and documentation writing).

Knowledge of:

  • Software development methodologies and project management (e.g., Agile approach).
  • Document management processes and their standardization.

Advantages:

  • Experience working within European institutions or agencies.
  • Knowledge of other documentation tools such as Confluence, GitBook, etc.
  • Experience in creating policy documents and internal methodologies.
